What is Microsoft 365 Copilot Business? Features, price and licensing (2026)

Microsoft 365 Copilot Business is the Copilot license for organizations with up to 300 users. You get the same AI assistant as large enterprises (Copilot in Word, Excel, PowerPoint, Outlook and Teams, plus Copilot Chat with access to your business data), but at a lower price and as an add-on to your existing Business license. This article explains what Copilot Business is, what it costs, who it is for and how it compares to Microsoft 365 Copilot and Copilot Chat.

What is Microsoft 365 Copilot Business?

Microsoft 365 Copilot Business has been available since December 1, 2025 as the SMB edition of Microsoft 365 Copilot. It is an add-on license: you buy it on top of Microsoft 365 Business Basic, Business Standard or Business Premium. The AI engine is identical to Microsoft 365 Copilot, the enterprise edition. The differences are the price, the 300-user cap and the governance capabilities of your underlying license.

Copilot Business works with your own business data through Microsoft Graph: emails, documents, chats and meetings the user already has access to. Your data is not used to train AI models and is covered by Microsoft Enterprise Data Protection.

What can you do with Copilot Business?

• Copilot in the Microsoft 365 apps: write and rewrite text in Word, analyze data in Excel, build presentations in PowerPoint, summarize and draft emails in Outlook.
• Copilot in Teams: summarize meetings, capture action items and catch up on chats, even if you were not there.
• Copilot Chat with business data: ask questions about your own documents, emails and meetings, with source citations.
• Agents: built-in agents such as Researcher and Analyst for deep research and data analysis, plus your own agents built with Copilot Studio.

Who is Copilot Business for?

• Your organization has up to 300 users.
• You use Microsoft 365 Business Basic, Standard or Premium. Copilot Business is not available on Microsoft 365 E3 or E5; there you use Microsoft 365 Copilot.
• You want to add AI for part of your staff first, for example sales, management or marketing, and expand later.

Copilot Business, Microsoft 365 Copilot or Copilot Chat?

Copilot Chat is the free AI chat included with every Microsoft 365 license, but without access to your business data and without Copilot inside the apps. Copilot Business vs Copilot Enterprise

"Copilot Enterprise" is not a separate license. People using that term mean Microsoft 365 Copilot, the edition for organizations with Microsoft 365 E3 or E5 or with more than 300 users. The functionality is the same as Copilot Business. The differences:

• Price: Copilot Business is roughly €8 per user per month cheaper.
• Scale: Copilot Business stops at 300 users, Microsoft 365 Copilot has no limit.
• Governance: control over what Copilot can reach depends on your base license. With E5 you get automatic sensitivity labels, DLP for Teams and DSPM for AI; with Business Premium only the basic variants. Copilot itself does not change that.

Licensing requirements and rollout

1. Base license: every user with Copilot Business needs Business Basic, Standard or Premium. Without a base license the add-on cannot be assigned.
2. Data in order: Copilot only shows what a user is already allowed to see, but it does surface overly broad permissions. Review SharePoint and OneDrive permissions up front; SharePoint Advanced Management is included with every Copilot license and helps with this.
