Copilot not working? Common issues and fixes

Why end users with a Copilot license cannot use all features: privacy settings, wrong account, external storage, usage limits and license changes.

Users with a Microsoft 365 Copilot license sometimes cannot use all features. This article describes the most common causes and how to resolve them.

1. "Connected experiences" is disabled

Microsoft 365 Copilot requires Connected Experiences to be enabled. If this setting is off, Copilot will not work or only partially function.

How to recognize this?

  • Copilot button is grayed out or missing in Word, Excel, PowerPoint
  • Copilot shows an error about "connected experiences"
  • Copilot works in Teams but not in Office apps

Solution

User (if admin allows it): 1. Open an Office app (e.g. Word) 2. Go to File > Account > Account Privacy > Manage Settings 3. Enable Connected Experiences

IT admin via policy: 1. Open the Microsoft 365 Apps Admin Center (config.office.com) 2. Go to Customization > Policy Management 3. Find the policy Allow the use of connected experiences in Office 4. Set it to Enabled

> Note: This is a privacy setting. Discuss with your privacy officer whether this fits your organization's policies.

2. Files on external storage

Copilot in Office apps only works with files stored on:

  • OneDrive for Business
  • SharePoint Online

Solution

Save the file to OneDrive for Business or a SharePoint site. Copilot becomes available immediately once the file is in the cloud.

> Tip: Configure Known Folder Move (KFM) so Desktop, Documents and Pictures automatically sync to OneDrive.

3. Wrong account — personal instead of work account

Copilot features are tied to the work account (e.g. user@company.com). If a user is signed in with a personal Microsoft account (e.g. user@outlook.com), Copilot cannot access the license.

How to recognize this?

  • Copilot is unavailable despite a valid license
  • The top-right corner of the Office app shows a personal account
  • You are signed into Teams with a different account than Office

Solution

  1. Click your profile in the top-right corner of the Office app
  2. Choose Switch Account or Sign Out
  3. Sign back in with your work account (e.g. user@company.com)
  4. Verify the correct account is active: File > Account

> Tip for admins: Use Conditional Access to prevent users from signing in to business apps with personal accounts.

4. Usage limit reached (Researcher and Analyst)

The Copilot agents Researcher and Analyst have a monthly usage limit:

How to recognize this?

  • You receive a notification that your limit has been reached
  • Researcher or Analyst no longer responds to requests
  • Regular Copilot features (chat, summarize) still work

What can you do?

  • Wait until next month — the counter resets on the first of the month
  • Use regular Copilot features for simpler tasks
  • Plan your Researcher/Analyst queries strategically

> Admins can view current usage statistics via Microsoft 365 Admin Center > Copilot > Usage.

5. License changes can disable Copilot features

Changes to the Microsoft 365 license (e.g. downgrade, renewal, or reorganization) can cause Copilot features to unexpectedly disappear.

Common scenarios

Solution

  1. Open the Microsoft 365 Admin Center
  2. Go to Users > Active users
  3. Select the user and click Licenses and apps
  4. Check if Microsoft 365 Copilot is checked
  5. If not: check it and click Save changes

> Note: License changes can take up to 24 hours to fully propagate.

6. Copilot app not installed or outdated

Copilot in Microsoft 365 Apps requires a recent version of Office. Outdated versions may not support Copilot.

Minimum requirements

  • Microsoft 365 Apps: (formerly Office 365 ProPlus) — Current Channel or Monthly Enterprise Channel
  • Version 2311: (November 2023) or newer
  • Volume license versions (Office 2019/2021/LTSC) do not support Copilot

Solution

  1. Open an Office app > File > Account
  2. Check the version number under About Word/Excel/etc.
  3. Click Update Options > Update Now
  4. If the user is on LTSC or volume license: upgrade to Microsoft 365 Apps

Use this checklist when a user reports that Copilot is not working:

  • [ ] Is "Connected Experiences" enabled?
  • [ ] Is the file stored on OneDrive for Business or SharePoint?
  • [ ] Is the user signed in with their work account?
  • [ ] Has the user reached the Researcher/Analyst limit?
  • [ ] Has there been a recent license change?
  • [ ] Is the user running a supported version of Microsoft 365 Apps?
  • [ ] Is the Copilot app enabled in the Teams Admin Center?
